About the Role

We’re looking to hire an Operations Lead, MEA, as part of the Expansion & Growth Circle for MEA to help with growing and scaling our fast-paced organization. This individual will play an extremely important role in the growth plans for the Middle East & Africa (MEA) region. This is a support function role that learns and understands business needs then synthesises these into operational objectives, acting as an enabler for cross-functional Circles to achieve their goals.  This will include collaborations with, but not limited to People & Talent, Solutions, Marketing and Community. The remit for this role includes effectively providing services in Business Operations, Facilities, Procurement, Budgeting, Governance, Logistics and overall project management.

Responsibilities

The Operations Lead will collaborate with the Leadership Circle to build a blueprint for operational rollout within MEA.  This includes but is not limited to:

Operations & Market Expansion
  • Work alongside Circle leads to define, operations forecast based on the ‘go to market’ strategy and collaborate on setting their own comprehensive goals and KPIs
  • Work alongside regional finance teams to develop financial reporting based on agreed strategy  
  • Support other teams to enable execution of their strategies by providing business setup, including banking / payments capabilities, licensing as needed, to ensure business continuity and efficiency
  • Support the various circles in implementing their expansion strategies, plans and procedures
  • Coordinate the efforts of the different operational areas to ensure minimal duplication of efforts, maximum efficiency and to maximize value for money
  • Ensure expansion project budgets are set appropriately to achieve commercial goals
  • Build succinct project plans and program manage multiple geographies and Circles where required
  • Actively engaging with Solutions Circle from an operational perspective to support their delivery of business goals in current and future regions across MEA
  • Build and manage relationships with strategic partners, key external stakeholders, government, suppliers and key accounts
  • Work with existing Circles to understand, evangelize and promote company culture and vision
  • Collaborate to create best practices, guideline or playbooks for market expansion

Facilities Management
  • Ensure facilities are maintained to a high standard in collaboration with the Office Manager
  • Devise facilities procedures and policies in all areas of maintenance, safety, audit, etc.
  • Help project manage any future fit out and mobilisation projects within MEA including licensing, infrastructure, technology, design and build

Procurement & Supply Chain
  • Negotiate and manage supplier agreements in coordination with the Office Manager for all aspects of operations
  • Define procurement policies in collaboration with Mesh Finance and communicate to the team. Act as the project owner of all procurement activities
  • Create a catalogue of preferred suppliers with preferential rates with account facilities in line with good practice and according to the employee handbook. (ie: rules of purchase, no backhanders etc)
  • Take ownership of procurement / RFP logistical support requirements

Governance
  • Ensure licenses and insurances within each unit under the MEA region are valid and in compliance with the local legislation - in consultation with Company Legal, People, and regional leaders
  • Ensure all sales contracts are compliant and act as Legal compliance liaison for MEA
  • Coordinate to provide legal support when needed, and coordinate with global legal support as well as regional requirements
  • Take ownership of all licensing / government related or business related certification needs

Finance
  • Develop budgeting, financial planning reporting as per the process and guidelines of the Finance Circle
  • Working with Circle Leads, design and develop regular financial budget and reporting
  • Define best practices for the creation of Office Budgets
  • Manage billing and collections for the region
  • Responsible for the management of local expense and reporting elements in collaboration with local circle leaders and regional financial controller
  • Collaborate with People in relation to cash flow ensuring timely salary payments when payroll localises
  • Take ownership of suppliers / vendors management, invoicing, payables and receivables follow up

Project Management
  • Evangelize and provide visibility for all internal projects by pulling together good communication practices and tools
  • Develop OKRs and KPIs for operations in collaboration with Circle leads for regional MEA offices.

Technology/Infrastructure
  • Define local support needs in relation to IT support and equipment and maintain service logs and account requirements, in collaboration with Global IT
  • Manage all equipment requirements and maintenance

People & Ops
  • Collaborate, with the People Circle as a key partner of ops and expansion

Requirements
  • Business Operations experience is imperative - this is not an office management role
  • Strategic exposure to Operations in a startup environment
  • Administrative whizz with outstanding organisational skills
  • Exceptional Excel and financial skills
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills

  • College degree - but most important a high degree of self awareness, greater vision and foresight - and common sense
