About the Role:

This role is temp to perm. After a successful 3 month trial, you will be converted into a full time position.

We’re looking for an experienced Executive Assistant to help with the growing and scaling of our Executive Team and Company.  

This is a tremendous opportunity for both ownership and growth!  As the Executive Assistant, you will have a huge impact on our rapidly scaling business as you will directly support and improve the productivity of the Executive Team.

The position is situated at the heart of everything in the company.  It is instrumental for the Executive Assistant to be both experienced and skilled at coordination, administration and office management -- and as importantly -- passionate, energetic and enthusiastic about what we do.

The position will be an extension of the Executive Team’s visibility in the market and should have an exceptionally positive attitude, great people skills, professionalism as well as strong ethics and communication skills.

When we interview you, we will be looking for you to show high levels of emotional intelligence, be intellectually curious, and have the capacity to manage cultural differences whilst always being professional, dynamic in conversation, charismatic, and persuasive. You must be able to ask specific yet articulate questions, quickly synthesize insights from patterns in conversation, and reflect back the key points from a conversation in order to get alignment, commitments, and lay out next steps.

 

Responsibilities:
  • The overall scheduling and calendaring for a 24x7 ‘always on’ executive team
  • Time management and complete control over designated calendars, including coordinating, scheduling, tracking, arranging and reminding of internal and external meetings, events and functions
  • Extensive travel planning and coordination, extending months in the future and requiring global coordination
  • Coordinating with other partners and team members’ special meetings and functions
  • Pay bills and track budgets
  • Make dinner reservations, order lunch food and other day to day assistance
  • Manage all memberships, event tickets, donations and sponsorships
  • Event Production and Event Support: parties, roundtables and conferences
  • Run personal errands for the Executive Team on occasion

 

About You:
  • You should have prior experience supporting a CxO global executive or top-tier legal, investment banking or strategy consulting partner in an equivalent role
  • Strong understanding of the business and ability to apply judgment in prioritisation of key tasks, not just for yourself but for the executive team
  • Ability to collaborate with other support staff to provide 24x7 coverage for the executive team
  • Exceptional task management and the ability to not miss tasks and emails in a high velocity environment
  • Willingness to ‘own’ the schedule (and understanding of the business impact of failures when key meetings are not appropriately prioritized, scheduled or attended)

 

Skills
  • Exceptional task management and a well established task management system
  • Strong knowledge of Gmail and Google Calendar ideally (or similar tools)
  • Highly analytical
  • Exceptional phone presence
  • Strong writing skills
  • Proficiency in EXCEL and QuickBooks
  • Additional European languages a plus
